QR Codes for Check-in

Every guest in RSVPify is automatically assigned a unique QR code once they're added to your guest list. This code can be used before and during your event to speed up check-in and cut down on manual guest lookup.

Common uses include:

  • Speeding up event check-in

  • Reducing manual guest lookup at the registration desk

  • Sending guests a scannable code ahead of event day

  • Printing QR codes on invitations or badges

Download QR codes for your guest list

You can export QR codes for your entire guest list as a bulk download - useful for printed invitations, name badges, or sharing codes in advance.

  1. Open your event and go to Guest list.

  2. Click the Export dropdown in the top-right corner.

  3. Select Download RSVP invite QR codes.

Add QR codes to emails

Guest QR codes can be included in your automated confirmation emails or in any custom email campaign you build. Once added, each guest's unique QR code appears directly in the email - ready to be presented on arrival.

In your confirmation emails

  1. Open your event and go to Event Settings → Outbound Emails.

  2. Click the edit icon next to the confirmation email you'd like to update (e.g., RSVP under Confirmation Emails).

  3. Under Details, toggle on Display QR codes in the Send to section.

In a custom email campaign

  1. From your email builder, click into a text block and select Merge tags.

  2. Under Response, choose Check-in QR code to insert it into your email.

Use QR codes for check-in

On event day, guests can present their QR code - on their phone or printed - for scanning at check-in. Scanning immediately pulls up their registration record, so your team can check them in without manually searching for their name.

This is especially helpful for larger events where reducing wait times at the door is a priority.
