Create an email

Build and send email campaigns to your guests - from content blocks and merge tags to targeted recipient segments and scheduled sending.

RSVPify's email editor lets you build and send email campaigns to your guests directly from your event - invitations, reminders, updates, or anything else you need to communicate.

Before creating your email, make sure you've created your guest list.

Locating the email editor

From your event dashboard, go to Invitations & Emails, then click New email in the top right.

Creating your email

The email builder is organized into three tabs: Details, Email, and Theme.

Email tab

This is where you build the content of your email using blocks. Click the + next to Content to add a new block.

Available blocks are grouped by category: Event Info (MapBlock, Speakers, Sponsors), Hero, Text & Content (Text Block, Card Layout), File & Media (Image Block), and Layout & Actions (Button, Spacer).

Click any block in your email to edit it directly. Most blocks support merge tags - dynamic fields like {} First name, {} Event Name, {} Event Start Date, and {} Event Location - Venue Name - which automatically pull in each guest's information when the email sends.

​ 💡 Tip: If you've added a Button block, you can link it directly to your registration form using the Form Link field in that block's settings - no need to paste a URL manually.

Details tab

This is where you define what guests see about the email itself, separate from its content:

  • Campaign name - an internal name for your own reference; guests never see this.

  • Subject line - what guests see in their inbox before opening.

  • From name - the sender name shown to guests.

  • Reply to - the email address that receives any guest replies.

  • Preview text - the short line of text shown next to the subject line in most inboxes.

Theme tab

Control the email's color scheme under Email Colors - including Background, Headers, Paragraph, Buttons, Buttons text, Field stroke, and Field background. Each field accepts a hex code directly.

Take your time to make sure your email looks exactly how you want before moving on - click Next in the bottom right once you're ready.

Selecting recipients

On the Recipients step, choose who receives this email under Build Email Audience:

  • All guests on guest list - every guest currently in your guest list.

  • Invitees who have not replied - guests who haven't yet submitted an RSVP.

  • Attending guests - guests who RSVP'd as attending.

  • Not attending guests - guests who RSVP'd as not attending.

  • Custom audience - build a specific segment using filters, such as a question response or tag.

The recipient table updates live so you can see exactly who's included before sending. Toggle on CC included email recipients if you'd like a copy of the email sent to an additional address.

💡 Tip: Use Invitees who have not replied to send a targeted reminder - since it's a real segment with full reporting, you'll get open, click, and bounce data that automated reminders don't provide.

Preview and send

On the final step, review the Summary panel - campaign name, subject line, from name, reply-to, preview text, and recipients - alongside a live preview of the email itself.

Under Send now or schedule, choose Send now to send immediately, or Schedule to send later to pick a future date and time.​

Click Send Email to confirm. If everything looks right, your email will be on its way to your guests - or scheduled for later, depending on what you chose.

💡 Tip: Before sending to your full list, send yourself a test email first to check layout, content, and links.
