Walk-in Registration at Check-in

Not every guest arrives already registered. Walk-in registration lets your check-in team add someone on the spot - capture their details, seat them if needed, and check them in, all without sending them through a separate form or turning them away.

Walk-in registration is built for unregistered guests who show up unannounced, last-minute registrations you didn't have time to process in advance, or additional guests who weren't part of the original booking - a plus-one who wasn't on the list, for example.

Three things worth knowing about how it works in RSVPify's next-generation Enterprise platform:

  • Full registration details, not just name and email. Staff can expand Add additional details during walk-in check-in to capture any field from your event's actual registration form - dietary preferences, company name, custom questions, and so on.

  • Email is optional. The field is still there if you want to collect it, but it won't block check-in if a guest doesn't have one handy.

  • Table assignment in the same step. If your event has a seating chart, a Choose seating chart dropdown appears in the walk-in form. Select the chart, choose a table with open seats, and the guest is checked in and seated in one action. Full tables are hidden automatically so you can't accidentally overbook.

How to add a walk-in guest

  • Open Check-In for your event.

  • Select the option to register a walk-in guest.

  • Enter the guest's name. Email is optional.

  • Expand Add additional details to capture any other registration form fields you need - dietary preference, company, custom questions, and so on.

  • If your event has a seating chart, use the Choose seating chart dropdown to assign the guest to an available table.

  • Save. The guest is created, seated (if applicable), and checked in - all without leaving the Check-In dashboard.

💡 Note: The table assignment step only appears if your event has a seating chart set up. If there's no seating chart, the walk-in flow works the same way - just without the table step.

💡 Example: A gala has a handful of guests show up without RSVPing. Front-of-house staff add each one as a walk-in, capture their meal preference using the same question that was on the original form, seat them at one of the few tables with open chairs, and check them in - all in a single interaction at the door, no separate form or follow-up needed.

Test before your event

Before event day, run a practice walk-in on a test guest: leave the email blank, fill in a couple of additional-details fields, and (if you have a seating chart) assign a table.

Confirm the guest shows up correctly in your Guest List afterward with all the details and seat assignment intact.
