Creating and managing a seating chart

Create seating charts, assign guests to tables and seats, track check-in status, and export your seating data from your event dashboard.

Navigate to your seating chart section

Navigate to the Seating Chart section of your event. Here you'll find the seating charts you've created and can search them.

You can also click Manage Columns to control what information is displayed, including:

  • Created by

  • Created on

  • Last updated

  • Updated by

  • Tables

  • Total seats

  • Filled seats

  • Remaining seats

To take action on an existing seating chart, click the three-dot menu under Actions. You can duplicate, export to CSV, or delete the chart.

Creating a new seating chart

Click New Seating Chart, then:

  1. Enter a name for the seating chart.

  2. Set the initial number of tables.

  3. Set the number of seats per table.

You can update any of these settings at any time after the chart is created.

Navigating the seating chart builder

Once the chart is created, you'll see your list of invited guests alongside the tables ready for assignment.

  • Reorder tables by dragging and dropping them into position.

  • To rename a table, change its number of seats, or add notes, click the three-dot menu on the table and select Edit.

Assigning guests to seats

There are two ways to assign guests:

  • Click a seat to search for and select a specific guest.

  • Drag and drop a guest from the side guest list directly onto their table or seat.

Filtering the guest list

Filter the guest list to make assignment faster. You can filter by:

  • Assigned or unassigned seat status

  • Organization

  • Tags

  • Guest status

  • Check-in status

Viewing guest details

Click a guest within the builder to open a panel with more details about them, without leaving the seating chart.

You can control what information is displayed in the guests table by clicking on the settings icon. You can show up to 3 pieces of additional information about a guest from this screen.

Monitoring check-in status by table

Each table shows how many of its assigned guests have checked in, so you can manage seating on-site as guests arrive.

Adding more tables

You can add tables at any point while arranging your seating:

  1. Click New Table in the top corner of the builder.

  2. Enter a name for the table.

  3. Set the number of seats.

  4. Add any relevant notes.

Repeat to create as many tables as you need, or use Create Multiple to add tables in bulk.

Exporting your seating data

Once guests are assigned, you have two ways to use that data:

  • Export to CSV — download the full seating assignment data for use outside RSVPify.

  • Integrated check-in — use RSVPify's built-in check-in to show each guest's seat assignment as they check in at the event.

When you export to CSV, the file is delivered to your email and to the in-app notification bubble.

The seating chart export includes:

  • Full name

  • Email

  • Table

  • Seat

  • Table note

  • Check-in state

💡 Need more columns? Export from the Guest List instead — it includes a column for each seating chart you've created.
