What are merge tags?
Merge tags are placeholders you insert into your email content that automatically populate with real data when the email is sent. Instead of writing "Hi there," you can write "Hi {First name}," and each guest receives a version addressed to them personally.
Merge tags can be added to the email body, subject line, and email title.
How to insert a merge tag
Go to Invitations & Emails and open or create a campaign email. Make sure you're on the Email tab.
Click into any text area in the editor to place your cursor where you want the merge tag to appear.
Select { } Merge tags from the formatting toolbar at the top of the editor. A dropdown will open showing all available merge tag categories.
Click a merge tag from the list to insert it at your cursor position. It will appear as a labeled pill inside the email.
💡 Tip: Use the Search field at the top of the dropdown to quickly find a specific tag by name.
Available merge tag categories
Event
Pulls in details from your event settings automatically - event name, location, dates, times, and timezone.
Contact
Pulls in information from the guest's contact record - name, email, phone, organization, physical address, and job title.
Seating
Available when a seating chart has been configured for your event. Inserts each guest's table name or number and seat number.
⚠️ Seating merge tags will only populate for guests who have been assigned a seat. If a guest has no assignment, the field will appear blank in their email.
Form - RSVP
Pulls in responses your guests submitted through the registration form. These merge tags are unique to each event and reflect your actual form questions.
💡 The options in your merge tag dropdown match the questions on your registration form, so they'll vary by event.
Tips for using merge tags effectively
Always preview before sending
Use the Send test email button in the top right of the editor to confirm all merge tags render correctly before sending to your full guest list.
Check for blank fields
If a contact record is missing the data a merge tag refers to - for example, no first name on file - that field will appear empty in the sent email. Make sure your guest list data is complete for any fields you plan to use.
Use first name for a personal feel
The First name merge tag is the most widely used and most effective for making automated emails feel personal. It works well in both the subject line and the opening line of the email body.
