Planning an event is rarely a solo job. Whether you're looping in coworkers, vendors, or clients, adding them to your RSVPify workspace means everyone works from the same event data - no forwarded spreadsheets, no outdated screenshots. You control exactly what each person can see and change.
Choose the right access level
Before inviting anyone, decide what they actually need to do in your workspace:
Workspace Administrator - Full access. Administrators can edit event details, manage email and registration settings, add or remove other team members, and oversee every part of event planning. Give this role to your core team - the people actually building and running the event alongside you.
Workspace Viewer - Read-only access. Viewers can see event details, registration progress, and reporting, but can't make changes. This is the right fit for clients, sponsors, or stakeholders who want visibility without the ability to edit anything.
💡 Tip: When in doubt, start people as a Viewer. You can always upgrade someone to Administrator later once you know they need edit access.
Invite team members to your workspace
Go to Manage Team Members in your left-hand navigation menu.
Click Add Team Members or Event Staff.
From here, you can invite people two ways - by email, or by sharing a link.
Invite by email
Enter your collaborator's email address and choose their access level (Administrator or Viewer). Click Next: Preview to double-check the details, then send the invite. They'll receive an email to join your workspace directly.
Invite by link
Need to bring on several people at once - a whole planning committee, or an entire vendor team? Generate a shareable workspace link instead of sending individual invites:
Link expiration - Choose how long the link stays active. If it expires before someone uses it, you'll need to generate a new one.
Who can use it - Control access with one of three options:
Anyone with a link - works for anyone who has it, no restrictions.
Set Emails - limits access to specific email addresses you choose.
Verified email addresses at a domain only - limits access to verified accounts on a specific company domain (useful for larger organizations).
Access level - Set whether people who join via the link become Administrators or Viewers.
Click Next: Preview to review, then Get a link to generate and copy it - ready to drop into an email, Slack message, or shared doc.
