When you build your registration form, RSVPify gives you two related but separate controls: who is allowed to register, and how many people can select each option. This article covers both.
Private vs. public events
When you add invited guests to your event, RSVPify asks whether you want to restrict registration to just those guests.
Private Event - only invited guests already on your guest list may register or RSVP. A Guest List Lookup block is automatically added to your form so guests can find their invitation.
Public Event - anyone with your event's link can register, whether or not they're on a guest list.
💡 Note: The Guest List Lookup block added for private events can be disabled, but only for public events. Disabling it on a public event risks duplicate registrations, since guests won't be matched against their existing invitation.
Set capacity limits on RSVP options
Each RSVP option - like Attending - can have its own guest limit, separate from your overall event capacity.
Open your registration form and select the Attending (or equivalent) RSVP option.
Click the settings gear icon.
Under the guest limit field, leave it set to Unlimited, or enter a specific number of guests allowed to select that option.
Use Make free or Make unlimited as quick shortcuts if needed.
Click Save.
This is useful when you want to cap attendance at a specific number without capping the entire event - for example, if Attending should be limited to 200, while Not Attending stays unlimited for reporting purposes.
Set capacity limits on question options
The same logic applies to any multiple-choice question on your form - a dinner choice, session selection, or add-on.
Select the question block (e.g. Please select your dinner choice).
Click the settings gear icon next to the specific option (e.g. Chicken).
Set a Price if the option is paid, or use Make free.
Under Limited quantity available, enter a specific number of items, or leave it as Unlimited.
Click Save.
💡 Example: A dinner has 150 confirmed seats, but only 40 chicken portions available from the caterer. Setting a limited quantity of 40 on the Chicken option makes it unavailable to select once 40 guests have chosen it - no manual tracking required.
Review all capacity limits in one place
Rather than checking each block individually, you can see every RSVP and question-level capacity limit for your event from a single screen.
From your event dashboard, go to Event Settings → Capacity Limits.
Each RSVP option and question option is listed with its current limit - Unlimited or a specific number.
Click Manage block settings next to any item to jump directly to that block's settings and make changes.
This view is especially useful right before an event goes live - it's a fast way to confirm every capacity limit is set the way you intend across the entire form, without opening each block one at a time.
Test before publishing
Complete a few test registrations selecting different options and confirm each selection is accepted normally.
If you've set a limited quantity, reduce it to a small test number temporarily, fill it with test registrations, and confirm the option becomes unavailable once the limit is reached - then restore the real limit before publishing.
