When importing a guest list, a Group ID is a value you assign to tell RSVPify which guests belong together - so they can RSVP as a single group rather than as separate individuals.
What is a Group ID?
A Group ID is a shared identifier you add to a column in your import spreadsheet. Any guests who share the same Group ID value are treated by RSVPify as a single group.
When one member of the group begins the RSVP process, they can provide responses on behalf of everyone in their group.
Example: You're inviting the Doe family - John, Jane, May, and Danny. You want them to RSVP together rather than separately. In your import spreadsheet, assign all four a Group ID of 1 (or Doe, or any consistent value). RSVPify will recognise them as a group and allow one family member to complete the RSVP for all four.
Do I need to use a Group ID?
No - Group IDs are optional. If every guest on your list should RSVP individually, you don't need to include a Group ID column at all. Guests without a Group ID are treated as individual invitees.
Use a Group ID when:
You're inviting couples and want them to RSVP together.
You're inviting families and want one person to respond for the household.
You're managing corporate registrations where one contact RSVPs on behalf of their team.
You want to reduce the number of individual confirmation emails sent by grouping guests under one submission.
How to add Group IDs to your import
When preparing your guest list spreadsheet for import, add a Group ID column. For each guest you want to group together, enter the same value in that column. Guests in different groups should have different Group ID values.
💡 Note: The Group ID can be any value - a number, a last name, a word, or a code. You're not limited to numbers. Just make sure every guest in the same group has exactly the same value.
For example, if you're importing 10 couples:
John Smith and Jane Smith → Group ID: 1
Carlos Rivera and Ana Rivera → Group ID: 2
And so on for each couple.
Guests without a Group ID value in that column are treated as individual invitees and will RSVP on their own.
What happens when grouped guests RSVP?
When a guest with a Group ID accesses the registration form and completes the Guest List Lookup, RSVPify recognises them as part of a group and presents the full group for them to respond on behalf of.
The primary registrant can then provide RSVP responses - attending, not attending, meal selections, and so on - for every member of their group in a single submission.
This keeps your Guest list organised, reduces the number of separate registrations, and makes the process easier for guests who are attending together.
