Custom Fields in RSVPify

If you've ever needed to track something specific about your guests - their membership number, dietary preferences, company name, or VIP tier - that's exactly what contact fields are for.

RSVPify gives you a set of default fields out of the box, plus the ability to create your own custom fields to capture any data your events require.

Default fields

Every workspace comes with a set of default contact fields that go beyond the required Full Name and Email. In Workspace Settings → Fields, you'll find these toggleable default fields:

  • Phone Number

  • Physical address

  • Member ID

  • Job title

Toggle any of these on to make them available in your contact profiles and registration forms. Toggle them off if they're not relevant to your events - they won't be deleted, just hidden.

What are custom fields?

Custom fields are additional data fields you create yourself to capture information that RSVPify doesn't track by default. They're stored at the workspace level, so once you create a custom field, it's available across all your events and contact records.

Common uses include:

  • Company name or department

  • Membership tier or ID number

  • T-shirt size

  • Dietary restrictions (free text)

  • Anniversary or renewal date

  • LinkedIn profile or website URL

  • Special access or clearance level

Custom fields mean you're never stuck with a rigid data structure - you define what matters to your organization.

How to create a custom field

  1. Go to Workspace Settings (click your workspace name in the left sidebar, then select Workspace settings).

  2. Select the Fields tab.

  3. Scroll to the Custom Fields section.

  4. Click + Add custom field.

  5. Choose your field type from the dropdown (Text, Dropdown, Date, etc.).

  6. Name the field and configure any options (for Dropdown or Select multiple, add your list items).

  7. Save.

Your new custom field is now available across all contact records and registration forms in your workspace.

Planner tip: Build your custom fields before you start creating events. Since fields are workspace-level, setting them up once means they're ready to use across every event you run - no duplicate setup required.

Field types available

When creating a custom field, choose the format that matches the data you're collecting:

  • Text - open-ended text responses (e.g., notes, job function)

  • Dropdown - single-select from a defined list of options

  • Select multiple - multi-select from a defined list

  • URL —-a link field (e.g., LinkedIn, website)

  • Date - date picker (e.g., membership expiry, anniversary)

  • Time - time picker

  • Email

  • Phone

How to add custom fields to your registration form

Custom fields don't just live in contact profiles - you can collect them directly from guests during registration.

In the Form Builder, open the Contact Information section. At the bottom of the right-hand settings panel, click + Add custom field to pull in any custom field you've created. When a guest fills in the field during registration, their response automatically populates their contact record.

This means if you ask for "Company name" during sign-up, you don't have to manually update the contact record afterward - RSVPify does it for you.

How to archive (remove) a custom field

There's no permanent delete button for custom fields - to remove one, you archive it instead. Archiving hides the field from your active workspace without losing any data that was already collected against it.

To archive a custom field:

  1. Go to Workspace Settings → Fields.

  2. Find the custom field under Custom Fields.

  3. Click Archive next to the field name.

To view or restore archived fields, click Show Archived at the bottom of the Custom Fields section.

Why archive instead of delete? If guests have already submitted data against a field, permanently deleting it would remove that data too. Archiving keeps your historical data safe while removing the field from future use.
