What is 'Contacts'?
Contacts is a workspace-level address book that lives outside your individual events.
While your Guest list lives inside a specific event and tracks who's registered and attended, Contacts tracks people across your entire workspace - so you can build, grow, and reuse your audience over time.
Think of it this way: your Guest list is for managing one event. Contacts is for managing your relationships.
How to access Contacts
From the left navigation bar, click the Contacts icon (the person icon, second from the top). This opens your workspace Contacts view, where you'll see all contacts across your organization in a single table with columns for Full Name, Email, Organization, Tags, and Notes.
How contacts are created
Contacts are created automatically when guests register for or are invited to any event in your workspace. You can also add them manually at any time:
Click + Add contact in the top-right corner.
Choose Manually to enter a single contact's details.
Choose Import from spreadsheet to upload a list in bulk.
Add guests to an event from Contacts
This is where Contacts pays off for repeat events. Instead of re-uploading a spreadsheet every year, you can pull directly from your existing Contacts into any event's Guest list:
Open your event and go to Guest list.
Click + Add guest in the top-right corner.
Select Import from contacts.
RSVPify will let you search and select contacts to add directly to your event - no spreadsheet needed.
Filter and search your Contacts
Use Add filter to narrow your list by tags, organization, or other criteria. The search bar lets you find anyone by name or email instantly.
This is useful when you want to quickly locate a specific contact or check whether someone is already in your database before adding them again.
Saved views
If you regularly work with specific groups of contacts - sponsors, VIP guests, board members, alumni - save your filtered view so you don't have to rebuild it every time.
Click All contacts dropdown and select Manage saved views to access the filters you created.
Tags and organization fields
Use Tags to group contacts by type, relationship, or event history (e.g., "Sponsor," "Speaker," "2025 Conference").
Use the Organization field to associate contacts with their company or institution.
Both fields are filterable, so you can quickly pull up "all sponsors" or "everyone from Acme Corp" when you're building your next guest list.
Export your Contacts
Click Export to download your full contact list or a filtered subset as a CSV - useful for mail merges, external CRM syncing, or sharing with your team.
