You can now hand each table or group to a captain who invites their own guests. Every guest submits their own details, and you watch every group fill from one place, so you're not chasing sponsors for names the week of your event.
🌟 Group registration, also known as Table Captains, is part of RSVPify for Enterprise and works on new events. To request to turn it on for your workspace, reach out to your account manager.
What's New
When a sponsor or group lead buys a table, the real work usually starts after checkout. Names arrive in pieces, meal choices and dietary needs go missing, and placeholders like "Sponsor Guest 1" stay on your guest list far too long.
Group registration moves that work to one person per group. Each table or group gets a captain with a self-service portal. Captains invite their own guests, guests RSVP for themselves, and you see who is in the room as it happens.
It works for any event where people register together, from gala tables and golf foursomes to sponsor blocks and team outings.
Where to Find Group Registration
Once enabled for your workspace, enable group management when you create a new event. Once it's on, you'll set up your table and group packages in Tickets, and manage every group, captain, and seat from the Group Management page for that event.
How Group Registration Works
Sell/Offer tables and group packages. Create table or group package tickets in Tickets, with a seat count and price. Buyers choose a table or individual tickets, and one order can include several tables. Table buyers can pay by card, US bank account (ACH), or offline, such as by check.
Invite a captain for each group. Each table purchase comes to you as a request. Review it, create the group, and invite the captain. You can also create a group yourself for a table sold outside RSVPify. Captains accept from an emailed link, with no password to set up.
Captains fill their table. From their portal, captains invite guests one seat at a time, either by email or by copying that guest's personal link. They can also register a guest on their behalf. Every seat shows as Confirmed, Awaiting response, Declined, or Empty, and captains can send reminders to anyone who hasn't responded.
Guests RSVP for themselves. Each guest gets a personal link that opens your registration form directly. Guests confirm or decline and answer your questions, like meal choice or dietary needs. Every guest needs their own email address.
You stay in control. You can edit or remove anything a captain does. Set a cutoff date in Event settings, and after that date only you can make changes.
Managing Your Groups
Track progress. The Group Management page shows each group, its captain, and how full it is, plus an Action Required view for anything that needs you. You're notified when guests confirm or decline and when seats are released.
Released seats. If a captain can't fill a seat, they can release it back to you before the cutoff. You can then resell it or place someone in it. Releasing a seat can't be undone.
Handing off a table. A captain can transfer their role to someone else, like an assistant. The original captain loses access as soon as they start the transfer.
Seating. When you're ready to arrange the room, groups appear in your Seating Chart with their captain info attached, so you can drag a whole group onto a table.
Sold-out events. When your event reaches capacity, visitors see your custom sold-out message and can submit an "I'm interested" form, which emails you their details. It's not a waitlist, so you decide whether to open another table.
🎯 Who's It For?
This release is perfect for:
Fundraising & Gala Organizers – Let table hosts confirm their guests and collect meal choices and dietary needs, so you get real names sooner.
Golf Tournament Organizers – Give each foursome lead a way to collect every player's details, like handicaps, shirt sizes, and waivers.
Conference & Event Planners – Have sponsor contacts and exhibitor leads supply their guest names and badge details themselves.
Corporate Event Managers – Let team and volunteer leads register their group and have members add their own details before the deadline.
