RSVPify's HubSpot integration keeps your event contacts and registrations in sync with HubSpot — so your teams always have accurate, up-to-date event data.
Before you start
Confirm your HubSpot access
To successfully connect and use the integration, your HubSpot account must be on an Enterprise-tier subscription (Marketing Hub Enterprise, Sales Hub Enterprise, or equivalent). Custom objects — which RSVPify uses to store attendance data — are only available on Enterprise.
The HubSpot user you authorize with must have one of the following:
Super Admin privileges (recommended), or
Account Access permissions plus permission to create and manage custom objects.
If you're not sure, your HubSpot admin can confirm or set up the correct user for you.
Complete the custom object setup first
Before connecting HubSpot in RSVPify, you must manually create the RSVPify Attendance custom object in your HubSpot portal. This is a one-time setup step required while the RSVPify HubSpot Marketplace app is going through certification.

Important: One-time mapping configuration
During the initial setup, you'll choose how fields are mapped and how records are created in HubSpot.
These mapping settings can't be changed after the integration is first configured.
Before completing setup, we recommend:
Reviewing your field selections carefully
Double-checking any filters you've applied
If you're unsure, it's best to test with a small contact set before finalizing the connection.
Connect HubSpot to RSVPify
Go to Workspace Settings
Open the Integrations tab
Click Add Integration next to HubSpot
Authorize the connection by logging into your HubSpot account
Once authorized, RSVPify will guide you through configuration.
Configure contact matching
The first setup step is defining matching criteria, which determines how RSVPify matches HubSpot records to existing RSVPify contacts during your initial sync.
Choose a primary and optional secondary matching rule.
Good to know: Matching criteria is most important during the first sync. After records are connected, the integration relies on underlying IDs for ongoing updates.
Choose fields to sync
Select the HubSpot properties you want included in the integration.
Only selected fields will sync
This gives you control over what data is shared between platforms
Contacts
When RSVPify writes a guest to HubSpot, they are always created as a HubSpot Contact. The Leads vs. Contacts setting controls the lifecycle stage assigned to that contact in HubSpot:
Leads — the contact is created with
lifecyclestage = leadContacts — the contact is created with
lifecyclestage = contact
Existing HubSpot contacts can also be imported into RSVPify as part of the initial sync.
Filter incoming HubSpot records (optional)
When setting up filters for incoming HubSpot records:
The property name must exactly match the HubSpot internal property name
Use the internal name, not the display label shown in the UI
The name is case-sensitive and must be pasted exactly
You can find the correct internal name in HubSpot:
Go to Settings
Click Properties in the left sidebar
Select the object (e.g. Contact properties)
Find the property and copy the Internal name value (click the
</>icon if it isn't visible)
Sync contacts
After setup, your contacts will sync. You can return to this page at any time to resync the configuration.
Enable event-level Marketing Event sync
To send event-level guest and RSVP data into HubSpot:
Open your Event
Go to Event Settings
Open the Integrations tab
Enable HubSpot syncing for the relevant form(s)
This will create or update a HubSpot Marketing Event representing your RSVPify form, and begin writing attendance records to the associated RSVPify Attendance custom object.
Seeing RSVP attendance data in HubSpot
RSVPify stores RSVP and check-in data as RSVPify Attendance custom object records, each linked to the relevant Contact and Marketing Event. In some HubSpot portals, this section may not appear by default on Contact or Marketing Event records until the associations are confirmed.
To verify the data is wired up correctly:
Open any Contact record — the right sidebar should show a RSVPify Attendances section
Open any Marketing Event record — the right sidebar should also show a RSVPify Attendances section
If these sections aren't visible, your HubSpot admin should confirm that the Contact ↔ RSVPify Attendance and Marketing Event ↔ RSVPify Attendance associations were created correctly during the custom object setup.
What updates happen automatically vs. manually
Automatic updates (after initial setup)
Once your event/form sync is enabled, new registrations and RSVP changes will update in HubSpot automatically — no need to click Sync again.
Updates that require "Sync now"
Other changes will require you to click Sync now in the workspace integration settings.
