RSVPify has default contact fields, and you can create custom fields for anything else your events need. Both kinds are saved on the contact, not on a single event, so the information is available everywhere that contact appears.
Why and when to use contact fields
Use a contact field when you want to know something about a guest beyond their name and email, and you'll want it again later, like a member ID, company, or T-shirt size. Fields are saved on the contact, so you ask once and the answer is there for every event.
Contact fields let you:
Save guests time. If a returning guest finds themselves through the guest list lookup, their stored details are pre-filled on the registration form.
Show details you already have. Set a field to Display only to show something like a member ID without letting guests change it.
Keep the data together. Answers appear on contact profiles and the guest list, and you can include them in exports.
Default fields
Every workspace comes with a set of default contact fields that go beyond the required Full Name and Email. In Workspace Settings → Fields, you'll find these toggleable default fields:
Phone Number
Physical address
Member ID
Job title
All default fields are turned on by default, so they're available in your contact profiles and registration forms. Toggle off any that aren't relevant to your events. They won't be deleted, just hidden.
What are custom fields?
Custom fields are fields you create yourself for information RSVPify doesn't track by default. They're stored at the workspace level, so once you create one it's available across all your events and contact records.
Common uses include:
Company name or department
Membership tier or ID number
T-shirt size
Dietary restrictions (free text)
Anniversary or renewal date
LinkedIn profile or website URL
Special access or clearance level
How to create a custom field
Click Workspace settings in the left navigation.
Select the Fields tab.
Scroll to the Custom Fields section.
Click + Add custom field.
Choose your field type from the dropdown (Text, Dropdown, Date, etc.).
Name the field and configure any options (for Dropdown or Select multiple, add your list items).
Click Save.
Your new custom field is now available across all contact records and registration forms in your workspace.
💡 Planner tip: Set up your fields before you build events. Fields are workspace-level, so you set them up once and returning guests get pre-filled forms from day one.
Field types available
When creating a custom field, choose the format that matches the data you're collecting:
Text: open-ended text responses (for example, notes or job function).
Dropdown: single-select from a defined list of options.
Select multiple: multi-select from a defined list.
URL: a link field (for example, LinkedIn or a website).
Date: date picker (for example, membership expiry or anniversary).
Time: time picker.

How to add a field to your registration form
Custom fields don't just live in contact profiles. You can collect them directly from guests during registration.
In the Form Builder, select the Registrant Details block. At the bottom of the right-hand settings panel, click Add custom field to pull in any custom field you've created. Default fields that are turned on appear here too. When a guest fills in a field, their answer is saved to their contact record automatically.
Control how each field behaves
Default and custom fields have the same settings:
Field Title and Placeholder text: what guests see.
Required for primary guest?: Required or Optional.
Required for additional guests?: Required, Optional, or Hide field for additional guests.
Input state:
Allow guest to edit already known information: stored details are pre-filled, and the guest can change them.
Display only: stored details are shown, and the guest can't change them.
The field is always available. If RSVPify has nothing stored for a guest, they can enter it during registration.
Example: Set Member ID to Display only. Members who look themselves up see their ID but can't change it. A new guest with no ID on file can type one in.
Pre-filling works for guests RSVPify already has details for. They're on your guest list and find themselves through the guest lookup.
How to archive (remove) a custom field
Custom fields can't be immediately deleted. To remove one, you archive it instead. Archiving removes the field from all contacts and events, including any live forms that use it, and you can restore it later.
To archive a custom field:
Go to Workspace Settings → Fields.
Find the custom field under Custom Fields.
Click Archive next to the field name.
Confirm when prompted.
To view or restore archived fields, click Show Archived at the bottom of the Custom Fields section. If you restore a field, its data is returned to the contact.
